COVID-19 Update 9th September

As you plan your return to Ara campus, to follow is some important information on how we’ll all use our campus spaces together under this new Alert Level 2.

Things are different than when we were last on campus together, including what we all must do to help keep each other safe and well. Thank you for taking the time to read this important information:

We MUST all now scan QR codes at EVERY Ara building we go into:

  • Some of our larger rooms also have QR codes – where-ever you see a QR code please scan it.
  • Enable the Bluetooth feature on your phone.
  • Please also use your Ara ID card on the swipe-card reader in every building entranceway – even if the door is open already.

Why scanning is so important: if there was a positive Covid-19 case at Ara, the quicker we know exactly where that person was and when, the quicker we can contact anyone who was there at the same time to help stop the spread. This is really important.

ALWAYS bring a face/covering mask to campus – if in doubt, please wear it:  

  • We MUST wear a mask
    • where there’s close contact with others in a learning space such as hairdressing, osteopathy, massage, beauty therapy etc and other such times with less than 1m  - your tutor will advise you.
    • in public gathering spaces like City Campus’ ALX, Woolston Campus’ SSB, ground floor of Timaru Campus’ TA Block, Ashburton Campus and Oamaru Campus
    • where you get close to others – like corridors, stairs and lifts.
  • Wearing a mask is STRONGLY RECOMMENDED – where you can’t get 1m away from others in a ‘controlled environment’ or 2m away from others in an ‘uncontrolled environment’ – read below for what we mean by that.

Why wearing masks are so important: this is one of the best ways to protect ourselves and others. It’s a simple thing to do, that can have a huge impact.

Keep the right space between you and others:

Your tutor will advise you in your class and you will see signs around campus about keeping the right distance. In general:

  • Keep at least 1m away from others in ‘controlled environments’ – places like classrooms, workshops, labs, onsite cafés/restaurants or office workspaces/meeting rooms with people you know/work/study with.
  • Keep at least 2m away from others in ‘uncontrolled environments’ - indoors and outdoors in common spaces like the ALX Atrium, ground floor of TA Block, SSB Building or North Green etc.

If you can’t return to campus or are concerned you are vulnerable

Please let your tutor know. It’s important we continue to support your learning needs. Please also reach out to our support services (see below).

If you’re unwell – stay away from campus and advise your tutor

  • Stay away - if you’re unwell or displaying any Covid-19 like symptoms including colds, coughs, flus or respiratory problems.
  • Immediately advise the Ara Safety and Wellbeing Manager (freedom.preston@ara.ac.nz), if you’re awaiting a Covid-19 test.
  • The City Campus’ Heath Centre is open, but please don’t visit if you’re displaying COVID-19 symptoms. Instead, contact your own GP or phone the Health Centre on 03 940 7566.

Travelling and moving

  • Those in an Alert Level 2 area can travel within other Alert Level 2 areas to move to different student accommodation - whether that’s a private flat or Ōtautahi House etc.
  • Those in Alert Level 2 may also return to your ‘primary’ home or place of residence in an Alert Level 4 area. But you MUST carry evidence of your purpose of travel and destination, e.g. proof of accommodation arrangements. Please remember these really simple things - they help us keep each other safe and well:

Regular handwashing, covering coughs and sneezes, keeping good physical distances and wearing a mask as much as possible will all help keep each other and our community well and safe.

COVID-19 Update 7th September

Following the Government announcement yesterday afternoon about the change in Covid-19 Alert Levels, we want to let you know how we are preparing to reopen our campuses under Alert Level 2. To follow is a general overview - your tutor will advise you of any other details relating to your specific course.

Teaching, learning and assessments (your tutor will confirm any extra details for your course):

  • Continue as they are planned – mostly remote - Tuesday, Wednesday, Thursday this week.
  • Will return back to campus - from this Friday 10 September.

Important: Students should NOT return to Ara ahead of any dates provided by your tutor.

Although schools/education providers can reopen under Alert Level 2 this Thursday, our campuses are not reopening for staff and students until Friday

We’ve made that decision to support our many staff and students who are also parents organising children back to school on Thursday. We’re also getting our campus facilities set up and ready again to ensure the least disruption and  impact on your learning when you return. Please keep in contact if you need extra support.

This Alert Level 2 (Delta) is different than the last Alert Level 2:

The Delta variant is incredibly challenging and the health and wellbeing of our staff, students and wider communities depends on us all being extremely vigilant to follow all requirements:

  • Contact Tracing is MANDATORY - scan QR codes at EVERY building entry - if there is a positive case of Covid on campus the following actions will be critical towards helping to manage its spread in our community – your diligent scanning could save lives.
    • Make full use of the Government’s Contact Tracer App – including enabling the Bluetooth feature.
    • Scan the QR codes at all sites and when moving between buildings (QR codes are now on each individual building).
    • Please also swipe your Ara ID cards at any building you enter (swipe-card reader), even if the door is already open. 
  • Wearing face coverings / masks one of the most important ways to protect ourselves and others.  
  • STRONGLY RECOMMENDED - where physical distancing may be difficult, like in classrooms. If in doubt, please wear your mask.
  • MANDATORY – you must wear a mask for activities that require close contact with people – your tutor will work with you on this but typically it will include areas like hairdressing, osteopathy, massage, beauty therapy, etc. And in public campus spaces like libraries, moving around campus common areas indoors, cafes or lifts and corridors.
  • Please always bring a face coverings/mask to any campus in case you need it.

COVID-19 Update 6th September - Graduation Postponement

Following the ongoing cautious response to the Covid-19 Delta variant, including being in Alert Level 3 lockdown at this time, we’ve made the decision to postpone our 17th September Christchurch Graduation Ceremony. We’ve made this decision now to allow time for our graduands and guests to change travel plans.

The new date will be 22nd October 2021.

We can still only proceed under Alert Level 1 conditions, so if things change and Alert Levels rise, we will reassess the situation, and alter our plans with the safety of all learners and their families top of mind.

Here’s what you need to do:

a.       If you registered for the September Graduation and want to go the October ceremony: you don’t need to do anything; your registration is complete

b.       If you registered for September but don’t want to/can’t go in October: please let us know that you can’t make it by emailing us at: graduation@ara.ac.nz. If you still want to graduate in person, you will be able to register for and attend any upcoming Graduation ceremony within the next 12 months. If under certain circumstances you need to graduate in absentia in September, we will courier your qualification to you. 

c.       If you weren’t registered to attend Graduation in September and were planning to graduate in absentia, but are now interested in going in October: All you need to do is register before Sept 24th –Please let us know by emailing: graduation@ara.ac.nz by 24 September.

d.       If you weren’t registered to go in September and are not planning to go in October either: You will graduate in 2021 in absentia, so please check your correct address and we’ll courier your qualification out to you. This can be done prior to the October Graduation if you require. Due to the special circumstances, you will be able to attend any upcoming Graduation ceremony within next 12 months.

If you’ve already ordered your regalia, please contact GWC info@gwcregaliahire.nz to defer your order to 22nd October.

1st September - COVID-19 Update for students

We know this is a challenging time as you adjust your study and home routine around Covid-19 restrictions. To give you as much certainty as possible so you can plan ahead, to follow is an update on how we are operating. If you need any help or clarification at any time, please reach out to your tutor.

As of today we’re on Alert Level 3 - how Ara is operating

  • For most of our students, teaching/learning/assessments continue online.
  • However, where it’s not possible to teach remotely, such as some of our hands-on practical coursework, we’re looking at how to safely teach on campus from next week. This will not apply to many students and your tutor will be in touch if it affects you. Note that our campuses are being given a deep clean this week.

How Ara is planning ahead for Alert Level 2

We’re on Alert Level 3 until 11.59pm, Monday 6 September. On Monday Government will announce what Alert Level we’ll be on after that. While we don’t know when we’ll be back on Alert Level 2, this is what we are planning for:

  • The return of staff and students to Ara campuses would be staged gradually – likely over 2-3 days.
  • Any student out of town who couldn’t travel back to Ara in time for classes resuming on campus would continue to be supported remotely.

Important travel reminders for Alert Level 3

  • General travel - you may only travel between Alert Level 4 and Alert Level 3 areas if permitted – you need to carry acceptable evidence that you are permitted to cross the boundary. All Ara campuses and facilities are in under Alert Level 3.
  • For work placement travel - there is no inter-regional travel so placements outside of the location where the student is living cannot occur. Please speak with your tutor if you have a question about this.
  • If you are an Ōtautahi House resident – there is no travel into or out of Student Accommodation. Please contact the Ōtautahi House Manager before making any travel or alternative accommodation decisions. It’s important we understand your plans so we can support you and help keep you and our other residents safe.

We know when Covid-19 Alert Levels change it can raise a lot of questions; so please keep in touch with your tutor if you’re not sure of anything. It’s important we know how to support your needs.

30th August - COVID-19 Update for students

I want to let you know what we’re doing at Ara following the Government announcement that we’ll be moving to Alert Level 3 after 11.59pm, Tuesday 31 August.

How Ara will operate on Alert Level 3

For most of our students, teaching/learning/assessments continue online.

However, where it’s not possible to teach remotely, such as some of our hands-on practical coursework, we’re looking at how to safely teach on campus. This will not apply to many students.

If there is any on-campus teaching for a course, this is what will happen for students in that course:

  • Any on-campus teaching will not happen before next week.
  • You will be contacted directly by your tutor ahead of time.
  • No more than 10 people (including the tutor) in a ‘bubble’ on site: Members can’t move between bubbles. So once in a bubble, staff and students can’t mix with any other bubbles.
  • Our campuses are being given a deep clean this week.

Please discuss any questions or concerns with your tutor. We know many of our students have busy home lives supporting whānau and friends, so we’ll give you as much notice as possible of any changes to your study routine.

Our focus is on ensuring this disruption from COVID-19 has the least impact on your study and you are not disadvantaged by it. Please keep talking to your tutor so we can work through how best to support you.

25th August - COVID-19 Update for students

Thank you for your support while we got our remote learning, teaching and assessments up and running. Our staff really appreciate working with you to provide the best response for your needs.

This communication is to let you know that teaching/learning/assessments will again be online next week (from Monday 30 August 2021). That means all Ara campuses will remain closed to all students.

While we don’t know what COVID-19 Alert Level we’ll be on after Friday, it’s important you have certainty for next week as early as possible to help you plan. I know many of our students are also parent-teachers with children at home, and are also balancing whānau and friends’ needs.

Our focus is on ensuring this disruption from COVID-19 has the least impact on your study and you are not disadvantaged by it. Please keep talking to your tutor with any concerns so we can work through how best to support you.

20th August - COVID-19 Update for staff

This is a brief update this morning as we prepare for teaching, learning and assessments to resume next week online (from Monday 23 August). Note that learners are being sent an update late this morning as a reminder, and to reinforce the support services available to them.

Thank you all colleagues for keeping in close contact with our learners to respond to their needs and to colleagues providing support to peers getting ready for next week. We have such a strong team culture at Ara.

Government Alert Level announcement – 3pm today

You will likely be aware of the government announcement today re: their decision on Alert Levels. The IMT is meeting at 3pm to work through the implications of that announcement and then make our own decisions around what that means to Ara. I will send an update to all colleagues later on this afternoon – it may take a while to review the impact of the announcement so I appreciate your patience while we confirm all the details.

A couple of things I’d like to reconfirm this morning (irrespective of today’s government decision):

The week of Monday 23 August 2021

  • teaching/learning/assessments next week - online only
  • all other colleagues - be prepared to continue working from home.

Note: campuses remain closed to all colleagues, learners and visitors unless you are an ‘essential worker’ and have a letter confirming that. Whatever government announces today, please do not visit any campus site until you receive the communication this afternoon with details and instructions.

The week of Monday 30 August 2021

  • if we are able to, we want to reopen our campuses. But that depends on Alert Level permissions. So please be prepared to keep teaching and working remotely.

I know you will have questions about course work, assessments, and some of our students are also thinking about placements. I want to reassure you that Ara is working hard to ensure this disruption has the least impact on your learning and you are not disadvantaged in any way.

19th August - COVID-19 Update while all Ara campuses remain closed

Kia ora colleagues

While I am conscious you are getting a lot of emails at this time, the feedback I’ve received is that a daily update to share key decisions, actions and learnings from leadership meetings, IMT and any Government announcements would help us stay connected while there is still a lot of uncertainty and change.

With more positive COVID-19 cases in the community reported today and the expectation case numbers will grow, the IMT is looking ahead to what preparations would be required to work and teach remotely should lockdown continue beyond what we’ve initially planned for. Please also make plans to book your vaccination if you haven’t already done so. This is another way we can all contribute to supporting community wellbeing.

Focus on learners

I want to start by thanking all colleagues for your outstanding work to quickly activate our teaching online preparations for next week. Glynnis and Deb advised this morning that around 90 percent of our courses are ready to go from Monday as planned. As well as day/evening and weekend help sessions for last minute questions, I’m aware of a really high level of peer-peer support in teaching teams. Those with capacity and skill in online teaching/using zoom for teaching are asked (in conjunction with your leader) to reach out to capabilitydevelopment@ara.ac.nz who will link you with colleagues needing support.

This level of activity demonstrates your extraordinary commitment to bringing our purpose to life in such challenging circumstances: Ngāi Tātou ki te whai ao - Transforming lives through education.

Student services

Karen reports that CEE is up and running, providing a full range of services online. Our Ōtautahi residents are managing well, with a number using the 48 hour window provided to travel home. Thank you to Heather and team for your care and support for our learner residents.

ICT Support

Our ICT team is up and running and working with DCEs to compile and prioritise a list for where there is a critical need for further equipment if at any time we can access campus. I also want to remind all colleagues that only approved ‘essential workers’ are allowed access to our campuses and have letters stating they are an ‘essential’ worker.

Events and activities

Our DCEs have been asked about some current and upcoming activities:

  • Celebration of our People awards – nominations now extended out until Friday 27 August 2021.
  • Spring Graduation: Given Graduation is a large gathering of people, our events team is planning for different scenarios for different Alert Levels. Graduands are being advised to make flexible travel arrangements. We’ll keep you updated.

Working in lockdown:

This is a really challenging time, and while I am getting a lot of feedback that colleagues are feeling more prepared than our last lockdown, I want to reinforce two messages from yesterday:

  1. Defer/cancel any non-essential activity – work with your team and managers to make those good decisions that will enable you to focus on the most important tasks and a realistic lockdown workload.
  2. Work with your manager around a schedule to support your wellbeing and your whānau – whether it’s a quick walk around the block or kicking a ball with the kids. You’ve all worked extremely hard over the last 48 hours to get us in a good position. I know there is still a lot to do but make sure you build in that balance.

  • While we don’t know when our campuses will be able to reopen it’s important you are able to continue your learning.
  • For that reason, from Monday 23 August, all teaching, learning and assessments will restart, but only online.

COVID-19 Update – Wednesday 18 August, 1.30pm

Thank you all for your preparedness and swift response when lockdown was declared last night. While there is much to do and I know many of you are busy organising family needs around your work priorities in coming days, we are in a good starting position.

IMT has met this morning to review and to plan next steps. We’re also monitoring government updates and instructions to ensure you remain as informed as possible. I also want to reinforce government messages announced today – it’s just so critical that we follow the rules and play our part.  Mask wearing is mandatory from 11.59 pm tonight for people aged 12+ when visiting essential services (supermarkets, pharmacies and service stations).  Vaccinations are also resuming and I encourage you to make your booking as soon as you can.

1. Your wellbeing is important

As well as your own wellbeing, your bubble is important too and we recognise that is your priority. Please look after yourself and your whānau and if work needs to be put aside, keep connected with your manager about this – we understand. Work closely with your manager about a work schedule that is realistic and achievable. I strongly encourage teams to defer or cancel anything that’s not critical. Put your hand up if you need any support.

2. Working from home

Under these lockdown restrictions, we are not able to access campus for any equipment. However, should that change in coming days and we can access campus, our DCEs are currently checking with team members where this is a critical need for additional equipment at home. This list will be prioritised with ICT around those who support learner needs. Please be thoughtful about any such requests.

3. ICT and Capability Support

The ICT service desk is available via phone or email (ictservicedesk@ara.ac.nz , 940 8800) 8 am-4 pm Monday-Friday. Please contact them with any issues including challenges connecting to Ara services with personal equipment and using home devices to access your machine on campus remotely. Our Capability team has resources to support you to work from home – the page on Waituhi will be continuously updated.

4. Our learners’ needs are our focus

While we don’t know how lockdown will progress beyond this week, it’s important we plan ahead. Note: there are many unknowns, so we need to stay flexible and these plans may well evolve as things change. We are advising learners of this plan today to help them prepare and our Capability and Awa teams are currently updating online resources to support teaching colleagues for online learning:

  • Reminder – no learning this week - all Ara teaching, learning and assessments (including online) are on hold until Monday 23August 2021. This includes workplace learning that is onsite or face to face.
  • All learning online next week – from Monday 23 August 2021 - all teaching, learning and assessments will restart, but only online for the week. We have to make that decision now to put this in place, even though we don’t know if campuses will be able to reopen or not.
  • Learning for the week beginning Monday 30 August 2021 - depending on restrictions, we hope to be able to return to campuses in some way. However, please be prepared to continue with online teaching/learning if campuses are not allowed to reopen.

COVID-19 Update – Tuesday 17th August

The Government announced this evening that all of New Zealand is on Covid-19 Alert Level 4 as of 11.59pm, Tuesday 17 August 2021.

Ara campuses are now closed to all colleagues, students and other campus users. This will be reviewed in line with government decisions after three days.

Closing our campuses means:

  • There will be no teaching, learning or assessment until Monday 23 August. This includes workplace learning that is onsite or face to face.
  • All Ara gymnasiums, recreation areas, on-campus food retail venues, break out areas and early learning centres are closed until further notice.
  • Ōtautahi House will remain open to residents and associated Ara colleagues only. Specific guidance and support will be provided.
  • Planned activities and events are postponed until further notice. Unfortunately this includes our Whakatau scheduled for Manawa Wednesday 18 August, which we will reschedule as soon as we can.
  • Only authorised Ara ‘essential workers’ (as defined by government) will be able to access campus during lockdown – they will be provided with letters identifying them as an ‘essential worker’.
  • No work-related travel for Ara colleagues until further notice.

Learning, teaching and assessments will resume Monday 23 August 2021:

While we hope this will be back on campus, please ensure you are prepared for online learning and teaching should lockdown continue. We will keep communicating with you on this.
